Buyer guides by situation

These are the guides we'd hand to a non-expert before they signed up for anything. Each one names the right tool for a specific situation and explains why the obvious choice is sometimes wrong.

How our buyer guides work

These guides are designed to answer one question fast: given my team, my budget, and my constraints, which eSignature platform should I evaluate first? Each guide opens with a short shortlist (the two or three best fits for that audience), then explains what to look for, why our #1 wins for that audience specifically, where the alternatives win, and how to handle the hardest edge cases.

Three guide categories

  • Best for [audience] — small business, freelancers, healthcare clinics, real estate brokerages. Audience-first shortlists ranked on plan-ladder fit, mobile, integrations, and total cost of ownership at typical seat counts.
  • How-to & buyer guides — hands-on walkthroughs (How to sign a PDF online), category-spanning roundups (Best eSignature apps for iOS and Android), and decision-support content.
  • Free tools — honest analysis of which vendors offer a permanent free tier (only Sign.Plus and PandaDoc among mainstream platforms), what the limits really are, and when free stops being enough.

What we evaluate

  • Free tier or trial? Permanent free plan, time- limited trial, or no free option at all.
  • Plan-ladder fit at audience-relevant seat counts. Solo, 5–25 SMB, 25–100 mid-market, 100+ enterprise.
  • Mobile experience. Native apps vs wrapped web views, biometric signing, offline drafting, recipient flow on a phone.
  • Compliance posture (vendor-stated). ESIGN/UETA, eIDAS, GDPR, SOC 2 Type II, ISO 27001, HIPAA on eligible plans, 21 CFR Part 11 where relevant.
  • Integrations with the systems each audience actually uses — HubSpot, Salesforce, Microsoft 365, Google Workspace, Dropbox, QuickBooks, transaction-management software, EHRs.
  • Total cost of ownership at audience-typical seat counts and document volumes.

Frequently asked questions

Which guide should I start with?

Start with the audience-specific guide that matches your team. Solo? Read the freelancer guide. 5–25 employees? The small-business guide. Healthcare clinic? The healthcare guide. Real estate? The real-estate guide. If you're researching the category broadly, start with the eSignature apps guide for a mobile-first overview, or the free eSignature software guide for an honest read on which platforms have a usable free tier.

How are these guides different from the reviews?

Reviews are vendor-by-vendor deep dives. Guides are workflow-by-workflow shortlists — picking the right tool for a specific audience or job. If you already know you want to evaluate Sign.Plus, read the review. If you're still figuring out which platform fits a 12-person dental practice, read the healthcare guide. The two cross-link extensively.

Are these buyer guides sponsored?

No. We do not accept paid placement, sponsored reviews, or affiliate-driven ranking. Where we publish outbound affiliate links, the link's presence does not influence ordering or recommendation language. PandaDoc is our overall editor's #1 because it covers the broadest set of workflows in one product. Within individual audience guides — freelancers, healthcare, real estate, mobile-first — Sign.Plus is often the better audience-specific pick because PandaDoc's document automation is overhead those audiences will not use. Both rankings are editorial, not commercial.

Do you have guides we haven't published yet?

Yes — guides on the roadmap include enterprise eSignature buyer's guide, eSignature for property managers, eSignature for legal services, eSignature for nonprofits, and ESIGN/UETA legal explainer for U.S. agreements. Reach out via the contact page if there's a specific guide you'd find useful — reader requests genuinely shape what we publish next.

How often are these guides updated?

We re-verify pricing, plan tier names, and material feature changes at least quarterly. When a vendor publishes a major update (new tier, renamed plan, compliance addition), the relevant guides are updated within days. Each guide carries a "last updated" date.

I'm new to eSignature — where do I begin?

Two starting points. (1) Read the "How to sign a PDF online" guide for a fast walkthrough of the actual signing flow on Sign.Plus or another mainstream tool — five minutes. (2) Then read the audience guide for your team type. By the time you finish both, you'll have a working understanding of the category and a shortlist of two finalists worth a head-to-head comparison.
