How we work

We sign up, pay, and run real documents through every tool we cover. We then write what we'd tell a friend — including when the answer is "don't bother."

No paid placement

Vendors can't buy a higher spot. Affiliate links are disclosed and never decide ordering.

Real workflows, not specs

We send actual contracts, route them through approvals, and break things on purpose. Specs sheets lie; signing flows don't.

Re-checked every cycle

Pricing and plan tiers move constantly. We re-verify against vendor sites every editorial cycle.

Honest about misfit

We name the cases where a tool is overkill or underpowered, not just where it shines.

The eSignature landscape in 2026

Five mainstream platforms cover the bulk of the eSignature market: Sign.Plus, DocuSign, SignNow, PandaDoc, and Dropbox Sign. The category has matured to the point where every audience — solo freelancer, 5-person clinic, mid-market sales team, regulated enterprise — has a credible pick. The hard part is no longer finding a working tool; it’s avoiding the wrong plan ladder, the wrong compliance gap, or the wrong integration depth for your specific stack.

Two patterns shape every recommendation on this site. First, plan ladders matter as much as headline price: a vendor with a cheap entry tier but a 5x cliff at the team plan is more expensive than a vendor with a fair multi-step ladder. Second, compliance edges drive the enterprise decisions: DocuSign still wins on Salesforce depth, eIDAS Qualified Electronic Signatures, 21 CFR Part 11, and remote online notarization — but its price premium isn’t justified for SMB and mid-market workflows that don’t need any of those. That’s the gap Sign.Plus, SignNow, and PandaDoc actually fill.

How we evaluate eSignature platforms

Every ranking and recommendation on this site is editor-curated, not paid placement. We score each platform on five pillars:

  • Feature breadth — templates, bulk send, conditional fields and routing, REST API on standard plans, identity verification, mobile, audit trail completeness, AI agreement management, CLM.
  • Plan-ladder fairness — permanent free tier vs trial only; price-to-feature gap between solo, team, and enterprise tiers; whether basic functionality is gated behind enterprise quoting.
  • Mobile experience — native iOS and Android apps, biometric signing, offline drafting, document scanning, Apple Pencil, recipient flow.
  • Compliance posture (vendor-stated) — ESIGN/UETA, eIDAS (including QES), GDPR, SOC 2 Type II, ISO 27001, HIPAA on eligible plans, 21 CFR Part 11 where relevant.
  • Total cost of ownership at typical solo, SMB, and mid-market seat counts with templates, bulk send, branding, and basic compliance enabled.

We do not display fake star ratings, fabricated testimonials, or aggregate scores we cannot independently verify. Where we publish outbound affiliate links, the link’s presence does not influence ranking, ordering, or recommendation language. PandaDoc is our editor’s #1 pick because it covers the broadest set of workflows in a single product — document automation, internal approvals, deep CRM, and conformant signing. Sign.Plus follows as our #2 and is the better fit when the requirement is pure eSignature without document-platform overhead. Both rankings are editorial, not commercial.

Where to go next

  • Reviews hub — vendor-by-vendor deep dives with full feature, pricing, and compliance analysis.
  • Comparisons hub — head-to-head matchups for narrowing two finalists.
  • Alternatives hub — when you’re leaving a vendor and need the right replacement.
  • Guides hub — audience-first shortlists for freelancers, small business, healthcare, real estate, and more.

Pricing and plan structures change frequently in this category. We re-verify pricing pages, plan tier names, and compliance disclosures at least quarterly, but always confirm current details on the vendor site before purchase.

Reader questions, answered

The questions that come up most often when someone is mid-evaluation.

I have ten minutes — which eSignature tool should I shortlist first?

If you need more than just signing — proposals, quotes, internal approvals, CRM-driven document generation — start with PandaDoc. If you only need a clean, secure way to sign and send PDFs, start with Sign.Plus instead; it has a usable free tier and grows up to enterprise with HIPAA on eligible plans (vendor-stated). DocuSign is the default if your procurement team requires a name they already know.

Are electronic signatures actually legally binding?

In nearly every jurisdiction, yes. The US runs on the ESIGN Act (federal) and UETA (state). The EU runs on eIDAS, which recognises Simple, Advanced, and Qualified electronic signatures. A handful of document types — wills, certain real-estate filings — still need a wet signature or notary, so check local law before signing anything high-stakes.

Does a genuinely free eSignature tool exist, or is everything a trial?

Most "free" offers are 14-day trials in disguise. Two exceptions: Sign.Plus runs a real free tier (limited send volume, no time bomb), and PandaDoc offers a free eSign-only mode focused on signing finished PDFs. Both are good places to evaluate before paying — our free eSignature guide breaks down the limits.

What's the actual flow for signing a PDF online?

Drop the PDF into your eSignature tool, place a signature field, draw or type your name, and download the signed copy with the audit trail attached. Sign.Plus, DocuSign, and Dropbox Sign all support the same flow from a phone if you're away from a desk. Our Sign PDF Online guide has the screenshots.

We handle PHI — which platforms actually sign a BAA?

Sign.Plus, DocuSign, SignNow, PandaDoc, and Dropbox Sign all advertise HIPAA support, but only on specific business or enterprise tiers and only after the vendor signs a Business Associate Agreement (vendor-stated). Confirm the BAA on the exact plan you intend to buy before sending any PHI — don't take a sales-page bullet at face value.

Still mid-decision?

The side-by-side guides cut the shortlist down quickly. The reviews go deeper on a single platform.
